Customer Service Representative/Administrative Assistant

Overview:
We are seeking a dedicated and professional Customer Service Representative to join our team. This role involves providing exceptional support to clients, managing administrative tasks, and ensuring smooth communication across various departments. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency with office software. Experience with medical or dental offices, QuickBooks, and multi-line phone systems is highly desirable. This position offers an opportunity to work in a dynamic environment where customer satisfaction and administrative excellence are prioritized.

Duties:
• Respond promptly and courteously to customer inquiries via phone, email, and in person using multi-line phone systems
• Manage data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
• Maintain organized filing systems and handle clerical duties such as filing, proofreading, and document management
• Assist with front desk responsibilities including greeting visitors and managing appointment scheduling
• Support bookkeeping activities using QuickBooks and perform basic bookkeeping tasks as needed
• Provide customer support by addressing questions, resolving issues, and ensuring a positive experience
• Handle administrative tasks such as managing calendars, preparing reports, and supporting team members with office projects
• Maintain professionalism with excellent phone etiquette and organizational skills to ensure efficient office operations

Skills:
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
• Strong computer skills including data entry and document management
• Experience with QuickBooks or similar accounting software is preferred
• Clerical experience with filing, proofreading, and administrative support functions
• Excellent customer service skills with the ability to handle inquiries professionally
• Familiarity with front desk operations and multi-line phone systems
• Strong organizational skills with attention to detail and accuracy in typing and data management
• Previous experience in medical or dental office environments is a plus
• Ability to multitask effectively in a fast-paced setting while maintaining a high level of professionalism
