Office Administrator

Position Summary
We are looking for an office administrator responsible for efficient day-to-day operation of the office while providing administrative and accounting support. This role requires strong organizational abilities, attention to detail, and understanding of basic accounting principles. The successful candidate will support management, coordinate office activities, and assist with financial record-keeping to ensure smooth business operations.

Key Responsibilities
Administrative Duties
• Manage daily office operations, including scheduling, correspondence, and record management
• Serve as the primary point of contact for clients
• Maintain office supplies, equipment, and vendor relationships
• Coordinate meetings, prepare agendas, and take minutes as required
• Support human resources tasks such as onboarding, maintaining employee records, and scheduling
• Ensure compliance with company policies and procedures
Accounting & Financial Support
• Process accounts payable and accounts receivable, including invoicing and payment tracking
• Perform data entry and maintain accurate financial records
• Assist with bank and credit card reconciliations
• Prepare expense reports and support payroll processing
• Maintain general ledger records and assist with month-end closing
• Support budgeting, forecasting, and financial reporting activities
• Liaise with external accountant
Required Qualifications
• Diploma in Business Administration, Accounting, or a related field
• Minimum of 1-2 years of experience in an administrative role with accounting responsibilities
• Basic level of understanding bookkeeping and basic accounting principles
• Intermediate proficiency in Microsoft Office (Excel, Word, Outlook)
• Excellent organizational, time management, and multitasking skills
• High level of accuracy and attention to detail
• Strong written and verbal communication skills
Preferred Qualifications
• Experience with payroll administration
• Experience supporting small to mid-sized organizations
